CAE USA INC Data Management Administrator (1 Year Contract) in Moose Jaw, Canada

Role and Responsibilities

One (1) year term position reporting to the Quality, Health, Safety and Environment Manager, the incumbent is responsible for the support of the QHSE delivery of documentation to customers both internal and external. For this purpose, this person will support the development and delivery of all final document deliverables to customers according to CAE standards and maintaining appropriate configuration management on all. Archiving and maintaining the corporate history through the appropriate systems will be key activities.

Primary Responsibilities:

  • Responsible for all facets related to document and correspondence including receipt, registration, distribution, display and archive.

  • Perform management and maintenance of electronic libraries as needed

  • Responsible for the management and maintenance of all departmental quality documents, including annual review notices and follow up.

  • Utilize all facets of the Electronic Data Management Systems database for document registration, configuration, distribution, archive and physical data research.

  • Responsible for the management, creation and maintenance of the filing systems for CMAT and all related projects; both virtual and physical.

  • Uphold applicable security regulations for restricted or sensitive data.

  • Follow established procedures for distribution of National Defence publications

  • Provide required course material to students/instructors this includes the preparation (reproduction and assembly of course material), assurance and control of all material.

  • Manage and maintain the archive schedule.

Our Ideal Candidate will have:

  • Completion of a Certificate or Diploma in Office Education/Office Automation or the equivalent of three to five years experience in a structured office administrative capacity.

  • Strong working knowledge of data management systems is mandatory.

  • Well-developed customer service skills with the ability to remain calm in challenging situations under high stress and occasionally with difficult personalities.

  • Strong computer applications experience in Outlook, Word, Excel & PowerPoint.

  • Well-developed communication skills (verbal, written)

  • Knowledge in aspects of Data Management including Records Management concepts and methodologies for contractual, administrative, training and technical documents would be a strong asset.

  • Knowledge and familiarity with ISO 9000 Quality System Standards is an asset

    As a condition of employment, candidate must successfully pass a security evaluation per the requirements of the Controlled Goods Directorate of Canada and to CAE being able to obtain all necessary re-transfer authorization in compliance with US ITAR regulations.
