IOMAXIS Proposal Coordinator in Lorton, Virginia


IOMAXIS is seeking a highly organized self-starter with a keen eye for details to join our proposal team. The Proposal Coordinator will report to the Proposal Manager, assisting in the development, coordination, and completion of Requests for Proposal (RFP) responses. This is a full time role supporting Business Development operations in Lorton, VA.

What you will be doing in this role:

  • Assist with proposal development process; coordinate resources for proposal development, writing, and production.

  • Collaborate with the proposal team to develop and maintain a proposal schedule, RFP-compliant outline, and proposal response material.

  • Harvest appropriate proposal content from previously submitted responses in order to maintain proposal repository.

  • Edit proposal material for content consistency, compliance, and grammatical errors.

  • Maintain quality and document version control throughout proposal process.

  • Update and maintain proposal shared folder library/Confluence Portal.

  • Assist with ongoing improvements for proposal processes, tools, templates, archives, and proposal re-use material.

  • Develop and improve corporate capabilities documents and past performance references.

  • Prepare data call responses for review by Proposal Manager.

  • Work with Proposal Manager to initiate and execute key proposal lifecycle meetings and reviews including kick-offs, stand-up meetings, color team reviews, and after-action meetings.

  • Assist the Business Development team in tracking, updating, and managing the opportunity pipeline.

  • Capture action items during meetings/reviews and incorporate feedback into draft proposal documents.

  • Maintain reports to track response submissions, wins/losses, and other proposal response metrics.


Minimum Requirements:

  • Bachelor’s Degree and 3-5 years of experience in proposal coordination.

  • Familiarity with government contracting is required.

  • Experience with Microsoft Office Suite is required.

  • Exceptional written and verbal communication skills.

  • Must work well in team-oriented, fast-paced environment.

  • Must be able to organize, prioritize and manage multiple tasks simultaneously.

  • Proven performance in an environment that requires the flexibility to respond to changing requirements and priorities as they occur. This includes the willingness to work extended hours, as necessary, to meet proposal response deadlines.


  • Must be eligible to obtain a secret clearance.

Desired Skills:

  • High proficiency in Microsoft Word

  • Experience with graphics, desktop publishing, or related field
