About the role:

PSI is looking for a Proposal Coordinator with strong organizational skills to support our proposal team. The ideal candidate will thrive in a fast-paced, rapidly changing environment and will work independently while maintaining a collaborative environment with all stakeholders. The Proposal Coordinator will need to be motivated and flexible to support an opportunity from discovery through submission and award.

Responsibilities:

  • Track research interest in RFP opportunities, set up bid meetings, take notes in the meetings, send out the notes to the attendees, and send out bi-weekly bid meeting summaries.

  • Support individual bids from kick-off to submission.

  • Review and analyze solicitation and draft notes, timelines, and develop work plans and internal timelines for research staff.

  • Coordinate timelines between all relevant stakeholders and maintain shared RFP deadline calendars.

  • Schedule and lead kick-off and regular check-in meetings to discuss work plans, research staff roles, and proposal timelines with teams.

  • Develop partner instruction packages and support coordination with partners, and other organizations as needed ensuring counterparts understand timelines for submitting responses.

  • Develop and review administrative support documents as part of proposal submission packages.

  • Troubleshoot for proposal writing teams on issues relating to submission materials.

  • Review proposal materials to ensure compliance with solicitation requirements and accuracy as part of the Quality Assurance process.

  • Communicate with external clients to submit and field questions and bid packages.

  • Attend kickoff meetings for any federal proposals.

  • Track and file records internally.

  • Support continuous learning and process improvement.

  • Respond to inquiries with regard to the proposal development process.

  • Update and maintain the Proposal Resource Library, in conjunction with the Business Development Team.

  • Working with the Business Development Team, identify proposal process enhancements to continually improve the effectiveness of organization's proposals and knowledge management.

  • Additional proposal support tasks and other duties, as assigned.

    Qualifications/Requirements:

  • Bachelor's degree and a minimum of two years of experience working with government proposals required OR Associates and 4 years of experience.

  • Solid knowledge of Microsoft Word, Excel, Adobe, and PowerPoint, required.

  • Excellent verbal, writing, editing, and communication skills.

  • Excellent conceptual, problem-solving, and analytical skills.

  • Self-motivated, flexible, responsible, and confident with strong organizational skills.

  • A commitment to integrity and the ability to multi-task and nimbly switch between priorities in a fast-paced environment.

  • Ability to consistently meet deadlines.

  • Ability to work independently and collaboratively with minimal supervision.

  • Comfortable working with team members remotely (e.g., via video conferencing like Teams, Zoom, etc.).

    Preferred Qualifications/Requirements:

  • Past experience with proposal development and supporting senior-level staff, desired.
